As an Advisor, you can deactivate an account that you manage (either from a custodian or that you added manually) so that it doesn't get counted toward a Household’s total portfolio balance or toward your total Assets under Management.
As a Firm Manager, you can deactivate an account on behalf of an Advisor from the Onboarding section if there is no Advisor on the Account.
How does this help me? The ability to deactivate accounts is particularly useful if multiple custodians send the same account or position within an account. If you have incorrectly manually added an account, you can also utilize the deactivating accounts feature to remove the account.
This is also useful if you have accounts that have gone to $0 balance or transferred out. By default, CircleBlack retains the historical data but deactivating the account removes the account from the household. If all accounts are deactivated from an account, the household will no longer display or be counted toward your total number of households.
How To Guide: Advisor’s Deactivating Accounts at the Household level

Login to CircleBlack Advisor

From the Households tile, search for a Household needing to have an account deactivated

Click on the Household and navigate to the Household Dashboard

On the Household Dashboard, locate the Accounts tile and click on the account you need to deactivate

At the Account Dashboard, locate the Account Info tile and click the “expand” icon in the upper right corner of the tile

At the Account Info page, click the “Deactivate Account” button in the upper right corner:

You’ll then be asked to confirm you want to deactivate the account. Click confirm to do so.

The system will then provide a notification that the deactivation is in process. Once it’s deactivated, it will no longer show at the Household’s Account list.

Login to CircleBlack Advisor

Click on Manage at the top navigation → then click Accounts in the submenu

Search for the Account you want to deactivate and then click anywhere in the account row. Note, you can also search by Client or Household to find the account as well.

The Account Info page displays, where you can click the “Deactivate Account” button in the upper right corner

The system will then provide a notification that the deactivation is in process. Once it’s deactivated, it will no longer show in the Household’s Account list.

Login to CircleBlack Advisor as a Firm Manager

Click on Manage → then click Accounts on the submenu

Note: Firm Managers can deactivate an account only if there is no Advisor on the Account. You can check if an account is mapped to an Advisor by clicking on the filter icon and selecting “No Advisor Mapped.

From the Actions dropdown menu select Deactivate Accounts

Then, click the Filter icon and in the Advisors dropdown, select “No Advisor Mapped”

You’ll see all the accounts the Firm Manager can deactivate

Check the box for each account to be deactivated and click the blue “Deactivate button”:

The system will then provide a notification that the deactivation is in process. Once it’s deactivated, it will no longer show in the Household’s Account list.
